Data deletion instructions
Konomic WhatsApp messaging platform and the “Konomic” app (App ID 1411708813877592)

In short
- Businesses: disconnecting the number or removing the Konomic app stops the service, but does not by itself delete the data (section 1). The data is in the services your business contracts. To have it deleted, write to us (section 2).
- Individuals: if you are a customer or contact of a business that uses Konomic, write to that business first; if you write to us, we pass your request on to it. In all other cases, write to nik.l@konomic.com (section 2).
- If the data is ours, we delete it within one month (up to three months in complex cases, and we tell you first). If it belongs to a client business, we delete it as soon as the business instructs us. Backups expire within 90 days at most.
- We do not store data from your Facebook profile, so there is nothing from it to delete.
The platform does not receive automatic deletion requests from Meta. Deletion requests are handled by email or by post, as explained here. The data that is processed is described in the privacy policy.
1. If you are a business: how to disconnect
Disconnect the number from the platform
- Open the WhatsApp Business app on the phone of the connected number.
- Go to Settings → Account → Business Platform and choose to disconnect.
Menu names may vary with the app version and language. From then on the platform stops receiving new messages and notifications from that number. Meta reports the disconnection and it is recorded.
Revoke the Konomic app’s access
- Go to Meta Business Suite (business.facebook.com) and open your business portfolio’s settings.
- Go to Integrations → Connected apps, choose Konomic and remove it.
Meta may change these names. Removing the app withdraws the permissions you gave Konomic when you connected.
Disconnecting the number or removing the app does not delete the data already stored: it stays in your business’s installation, in the services your business contracts. If you want us to delete it, or to help you export it first, write to us (section 2).
2. How to ask for deletion
- If you are a customer or contact of a business that uses Konomic, write to that business first. It is the controller of your data, and its privacy policy explains how to ask. You can also write to us: we will pass your request to the business without delay.
- Write to us at nik.l@konomic.com with the subject “Data deletion”, or send a letter to KONOMIC DIGITAL SL, C/ Santo Domingo, 1, Km. 1, 38003 Santa Cruz de Tenerife, Spain.
If you write on behalf of a business, include:
- the business’s name and tax ID (NIF);
- the connected WhatsApp number;
- that you act on behalf of the business (we will confirm it through a business channel we already know);
- what you want us to delete and whether you want to export the data first.
If you write for yourself, include:
- your name;
- your WhatsApp number;
- the business you talked to on WhatsApp, if you know it;
- what you want us to delete.
Do not send identity documents unless we ask for them.
- We check the request with you and, if the data belongs to a client business, pass it on to that business. If we cannot check that the number is yours, we will suggest a simple way to do it.
- We delete. If the data is ours, within one month of receiving the request. If it belongs to a client business, the business decides and replies to you; we delete within 7 days of its instruction and confirm this to it. If the request is complex or there are many, the one-month period can be extended by two more months; if so, we will tell you within the first month.
- Backups expire on their own within 90 days at most (section 3).
3. What is deleted, and when
When a business leaves the platform
The installation’s data is in the services the business contracts, in its own name, and stays under its control. When the service ends, within the following 30 days:
- we remove our access to the installation;
- we remove the WhatsApp access token from the server configuration and the Konomic app’s subscription to its account;
- we delete any copy of its data that we hold ourselves.
If the business asks, we first help it export its data, and then delete its installation or leave it in place, as it instructs.
If you are an individual
It depends on whether you have a customer record with the business.
If you have a customer record, the business can erase it in its CRM. That:
- deletes the name, phone number, email, tax ID and notes from your record. The record keeps no contact details but stays linked to your vehicles, invoices and bookings, which the business must keep;
- deletes the WhatsApp messages and conversation stored under your current number;
- erases your name from the synced address book and stops your history from being imported again;
- deletes your personal data from older audit log entries;
- deletes your saved buyer profile for invoices, if there is one (invoices already issued keep their data, as the law requires);
- cancels pending notifications and disables your personal status links.
Messages stored under another number that was once linked to your record are not deleted with it: they are unlinked. If you ask, they are deleted too.
If you do not have a record (for example, you only appear in the business’s chat history or address book, or you wrote without being a customer), there is no button for this: it is done by hand. On the business’s instruction, we delete your messages, your history and your address-book data from its installation, and mark your number so it is not imported again.
Time limits
- Our data: within one month of receiving the request (up to three in complex cases or if there are many requests, and we tell you within the first month).
- Data of a client business: within 7 days of its instruction.
- Backups are not edited: deleted data disappears from them when they expire (7 days on the server and 90 days in AWS S3). If a backup is restored, the deletions made since then are applied again.
- We confirm in writing when the deletion is done.
4. What may remain, and why
Whatever is kept after a deletion because the law requires it is blocked (Art. 32 of the Spanish data protection act, LOPDGDD): nobody uses or consults it, except to make it available to courts, the public prosecutor or the AEPD, or to defend a claim, until the related liabilities expire. Then it is destroyed.
- Backups, for up to 90 days, until they expire. They are used only to recover the system after a failure.
- The audit log, 6 years from each entry; then it is deleted automatically. It records who did what and when. For changes to records it stores only which fields changed, and when your record is erased your personal data is deleted from older entries. Some entries may keep a plate, text written by staff (such as the reason for a visit) or the IP address from which you approved an estimate. Never the text of WhatsApp messages.
- Your number as a block marker. After deletion, the synced address book keeps only your number, without a name, so that a later sync does not import your data again.
- Booking requests registered by the assistant. The service, the requested date, the vehicle and the plate stay linked to the record without contact details.
- Vehicles and service history (plate, chassis number (VIN) and work done). They are kept as the vehicle’s history and for the workshop’s legal and warranty obligations.
- Intake, handover and work photos, signatures and PDF records: 4 years from upload, locked against deletion, as evidence of the vehicle’s condition and of what was signed.
- Records the law requires to be kept. The business’s invoices, payments and work orders are kept for the periods set by law. They contain no WhatsApp messages.
- Notifications and marketing messages already sent. They are kept, linked to the record without contact details, with the template, date, status and their data (service, date, order number, ITV due date with the plate, or recommendation text). Your personal status link is disabled.
- Messages stored under another number that was once linked to your record: they are unlinked, not deleted, unless you ask for them to be deleted (section 3).
- Staff conversations with the Telegram assistant in which your record was looked up: up to 30 days, then deleted automatically.
- A record of your request and our reply, for 3 years, so we can show that we handled it.
- What is outside the platform:
- chats that remain in the WhatsApp Business app on the business’s phone: to delete them, contact the business;
- Meta: according to Meta, it keeps Cloud API messages for up to 30 days. For the data of your Meta account, use Meta’s tools and privacy policy;
- Anthropic: it deletes what its API receives within 30 days; longer only if the law requires it or if it detects use that breaks its usage policy;
- Sentry: it deletes error reports when the period of the business’s plan ends;
- Esendex: SMS messages already sent may remain in Esendex’s sending records;
- Telegram: messages already in the Telegram chats of the business’s staff, such as older alerts that included a customer’s name or phone number, remain there until they are deleted in those chats. To have them deleted, contact the business.
5. If you are a customer or contact of a business
The business is the controller of your data. Konomic only assists it, as a processor. Contact the business first: its privacy policy explains how. If you write to us, we pass your request to the business without delay and help it comply.
6. Your Facebook data
Meta’s window (Facebook Login for Business) is used only so that a business can connect its WhatsApp number. We do not create user accounts with it, and we do not read or store your Facebook profile, so there is no profile data to delete.
If you connected a number with your Facebook account and want to remove Konomic from your integrations:
- On Facebook, open Settings & privacy → Settings.
- Go to Business integrations, choose Konomic and select Remove.
Menu names may vary. To delete your Facebook data, use your Facebook account settings.
